Tips that spell success for your organization

EDMS, ECM, BPM, KM, ERM, HSM… Huh?!? The document management industry certainly isn’t lacking acronyms to describe just about everything. But does anyone really know what all of these letters mean? On second thought, does it really matter? If you know your business needs to automate its processes, reduce inefficiencies, and save resources, it shouldn’t matter which letters you use to describe the technology.

The article Content Management Technologies and Alphabet Soup: 26 Tips to Spell Success makes better use of letters, providing a helpful step for every letter of the alphabet. If you apply each of them during your project implementation, you’ll be off to a great start. Here’s a look:

 

Align your business and IT goals. Some of the greatest project failures result from a mismatch. IT’s role is to support business objectives, but IT resources are often stretched. Educate each other. Negotiate.

Budget carefully. Software and hardware alone don’t represent Total Cost of Ownership (TCO). Customizations, disaster recovery planning, training, and testing carry costs. Plan accordingly.

Collaborate with all of your department managers. Set enterprise goals even if you’re starting with a departmental project. Think globally. Otherwise, you’ll find yourself reworking projects unnecessarily.

Reports are being released that French police have arrested a ring of mobile phone hackers involved in fraud worth millions of Euros. Nine people have been arrested, including employees of mobile phone companies.
The French fraudsters were buying codes to unlock victims’ SIM cards for €3 from employees of mobile phone companies who had access to the companies’ databases. They then sold the codes online for €30. Using these codes hackers could access any SIM card – even overseas SIMs – with their own mobile phones.
According to Amichai Shulman, CTO of data security specialist Imperva, “The employees did not hack into the database; it was an internal attack where they abused normal functionality and privileges granted to them. This was probably a case of over privileged users as these employees probably should not have been granted access to that data in the first place. In this scam, employees sold codes so that actual fraudsters could actually use these codes to make money. This gang has been operating for around 10 years. Not ironically, 10 years ago database security, access controls - all were very new concepts. The Telco companies would probably have put into place a very initial, raw access control policy back then and not updated in the past years when these companies turned into huge enterprises.”

Idappcom, the data traffic analysis and security specialist, says that release of ElcomSoft’s Wireless Security Auditor software, which has been refreshed with the addition of enhanced WPA2 password brute force cracking, means that WiFi connections can no longer be considered secure.
As a result, says Anthony Haywood, the company's chief technology officer, companies should consider moving to Ethernet/wireline connections for their company intranets and Internet access facilities.
The update of EWSA means that, with the professional version installed, hackers can use a computer with up to 32 CPUs and 8 GPUs to crack WiFi encryption using a brute force attack," he said.

The public hacking of the German national ID card system - which is due to be phased in from this November onwards - is almost certainly down to a failure of security being added as an afterthought, rather than integrated from the earliest stages of the development process, says Fortify Software.
In addition, says Richard Kirk, the application vulnerability specialist's European director, the fact that it has been cracked so publicly on TV by the Chaos Computer Club, will not help the German government in its cause to extend the card's usage beyond its national ID beginnings.

The ZeuS malware is coming of age and the infections are going to get a lot worse says Trusteer, the secure browsing services specialist. ZeuS malware has already been pushed extensively to users of Web 2.0 and/or social networking sites plus services such as Facebook, Twitter and, most recently, to users of the business social networking site, LinkedIn. Mobile business expert Cortado today announced the launch of its free cloud desktop application, Cortado Workplace for iPad. avast! had the fastest scanning speed out of all 20 antivirus programs in the independent organization’s test. It also led the pack in balancing the demands of accurate malware detection with a minimum of false positives.

Planned IT spending by small and medium businesses (SMBs) is on the rise for the second half of the year, according to a new survey by Spiceworks™, Inc. Overall IT budgets are up an additional 4 percent from the first half of 2010.

Scality, the pioneer of object-based cloud storage, today announced plans to open-source the Software Development Kit (SDK) of its patented RING technology. As a kickoff incentive, Scality is offering contributing developers bounties from a $100,000 USD fund.

An IT manager for the NHS in Yorkshire has been warned he faces jail after admitting illegally spying on medical records of patients. Dale Trever, 22, was working for a primary care trust as a data quality manager when he accessed patient records - all for women and mostly for his family, friends and colleagues. It is thought he looked at records on 431 occasions, even going in on weekends to have an illicit peek. On 336 of those occasions, he was checking out the records of family, friends and colleagues.
Amichai Shulman, Imperva’s CTO comments, “Dale Trever had been accessing the information between October 2008 and June last year and worryingly has only been caught now. With such a large system with very sensitive information in it, you would have expected the NHS to have some sort of alert system which monitors access and alerts in real-time when company policy is violated.”
Shulman continues “Just 6 months ago the NHS were exposed when it was found that as many as 140,000 non-medical staff, including porters and housekeepers, had access to sensitive NHS patient files. When there is a problem, a responsible organization should be able to assess the scope of the damage.”
“These incidents raise the fact again that the biggest issue related to insider threat is excessive privileges and the abuse of these privileges. This is a very though issue to resolve without an automated system that can alert when it detects abnormal behaviour. The UK health industry needs to update its access controls. With such a large number of sensitive records, doing this manually is obviously a near-impossible task so they will have to automate their process of user rights management.” adds Shulman.

Leading global insurer, RSA , has selected the Accellion Managed File Transfer solution to enable its global workforce to securely share insurance contracts. Research published today by IT security experts, Tufin Technologies, reveals that 23% of college and university students have hacked into IT systems. Of these hackers, 40% waited until after their 18th birthday before their first hacking attempt. On a positive note, 84% of 18-21 year olds recognised that hacking is wrong. However, 32% identified that hacking is ‘cool’ and worryingly, for the targets of hackers in this age group, 28% considered hacking to be easy.
This research, which was supported by the Association of Chief Police Officers (ACPO) – builds on a study carried out in March amongst teenagers. The teenage research survey revealed similar attitudes towards hacking, although only 18% considered hacking to be easy, suggesting that hackers’ experience develops through their teenage years. Both surveys found that there was no gender bias in hackers with an equal split between boys and girls.

The Highland Archive Centre in Inverness, one of the most significant developments of its type in the last 12 months, is now fully up and running and benefiting significantly from the use of Link 51 shelving systems throughout. The £10.5 million investment, which brings together the history and heritage of a region extending across the whole of the country north of Loch Ness, has been designed to provide both long term storage and regular access facilities which, in turn, have called for the storage system used to meet a combination of key requirements.

“Approximately two thirds of the shelving facility in the new three-storey repository block has been installed in a mobile configuration,” explains Rob Dakin, Link 51’s Projects Manager, “with the rest a combination of static shelving and special storage facilities such as plan chests and map tanks.

“Because mobile storage requires only one access aisle to be open at a time, the majority of the installation can be kept in a closed configuration thereby dramatically improving the capacity of the ‘storage cube’,” he continues. “At the same time, access to any part of the archive can be readily achieved through the simple operation of ergonomically-designed hand wheels which open the appropriate aisle when needed. This is providing the optimum storage conditions for a wide range of items from boxes to documents and manuscripts while the use of our specialist designs, such as the map tanks, meet separate and very specific needs.”

The installation has been centred on the company’s versatile ‘Stormor’ system. Easily assembled and reconfigured, the design is highly flexible and can thus reflect the variety of items that need to be stored at the site – from local authority, estate and family records to business and legal information, shipping registers and the ‘Tartan Archive’. Importantly, the archive staff can easily re-configure the layout if future storage requirements change.
Because of the irreplaceable nature of the material stored, Link 51 has also incorporated a highly innovative element to the installation of the mobile storage facility. “The floor slab has been laid with a slight gradient which will permit water to escape in the event of a fire on site,” continues Rob Dakin. “This has then been offset by a raised access floor to meet the finished level of the tracks.”

Cube Solutions, a specialist document management and workflow provider, announces that it has completed a project with Centaur Media Plc, one the UKs leading specialist B2B publishing groups, to install its online eForms technology to automate the whole process of employee expense claim management.

Building on an electronic document management system (EDMS) deployed in 2002 to manage purchase invoices, the new system means that Accounts Payable staff are saving 10 days a month to process 250 credit card and cash expense claims “ time which is being far better used to run the business. The system delivers 100% correct nominal code costing, improves reporting and has improved organisational effectiveness by making a laborious clerical task quick and easy for staff so they can focus on their core job roles.

Centaur Media employs 650 staff in four office locations. Operating a paper-based expense claims system was inefficient, slow and costly as paperwork had to be couriered between buildings or sent in the internal post which often resulted in delays or lost forms which would then need to be resubmitted.

With a paper system, staff would receive their monthly credit card statements and have to manually enter all items and attached receipts “ a laborious process for some who had 60 to 70 purchases to input per month.


Alan Dixie, Centaur Medias head of accountancy services, explains, "We make a direct debit payment to our credit card supplier and things could get quite pressurised before a payment deadline to get expenses back, and items allocated to the right nominal codes".

A survey of over a thousand office workers carried out by 360°IT - The IT Infrastructure Event has found that over half of people think that smart IT is having secure access to the things they need when they need them, 31% think it is technology that lets them collaborate with customers and partners and just 18% think it is the latest smart device like a shiny new smart phone or laptop. Imperva, the leader in data security, and Securosis today announced the findings of a comprehensive independent data security survey of more than 1100 multinational IT security practitioners. The survey focused on uncovering what technologies security practitioners find successful to mitigate breaches and comply with security mandates.
In particular, the survey found that the most effective data security approach involves a modern approach that uses technology to protect applications and databases alongside traditional approaches. Kodak today announced that the National Archives of Norway has scanned around 13 million microfilm images as part of an innovative project to digitise a considerable part of its holdings and make all information contained on microfilm readily available to the public via the Internet.
Three NextScan Eclipse 300 Rollfilm production level scanners, exclusively distributed and supported by Kodak in EMEA[1], are being used to digitise microfilm information stored in the archive, with one Kodak i1860 high volume scanner purchased to scan paper records. The equipment was supplied by long standing local Kodak reseller, Kibi Norge AS.
In total, it is expected that around 15 million microfilm images will be scanned with the project expected to be completed soon. A huge and varied range of records will be made available online including probate and court records, parish church registers which list births, baptisms, still births, death and burial records, along with marriage registers, immigration and vaccination information.

Global data capture specialist DRS has been contracted by the Ministry of Finance and National Planning of the Republic of Zambia, on behalf of the Central Statistics Office, to deliver the next population census of Zambia.
The contract was awarded following a successful pilot exercise earlier this year and is subsequent to DRS’ delivery of Zambia’s last population census, in 2000, that involved capturing vital data from 13 million people and four million households.
The latest contract will see DRS print five million specially designed census forms and conduct staff training for the handling and completion of questionnaires and in the use of its technologies, as well as providing project support for the planning and implementation of the scanning process. DRS will capture and process the census data using Optical Mark Recognition, Intelligent Character Recognition and keying from image technologies, including its award winning PhotoScribe® scanners and census software.

A survey by document management software company, Version One , highlights that just under a quarter of UK senior IT professionals are unaware of the CRC Energy Efficiency Scheme (formerly known as the Carbon Reduction Commitment). Version One carried out the research with 86 senior IT professionals (IT directors and managers) across a range of UK public sector and private sector organisations.
The survey reveals that 22% of senior IT professionals admit that they haven’t heard of the CRC Energy Efficiency Scheme. 28% of respondents state that they are aware of the scheme and have investigated whether their organisation qualifies or not, while 42% state that they are aware of the CRC Scheme but are unsure whether their organisation qualifies. Curiously, the remaining 8% admit that they “don’t know” whether they have heard about the CRC Energy Efficiency Scheme or not!

Popular IT security site TechCrunch Europe served up a Zeus trojan -installer PDF file to its visitors on Monday of this week and, says leading provider of secure browsing services Trusteer, the infection is down to the rising tide of Zeus attacks.
According to Mickey Boodaei, Trusteer's chief executive, one of the Javascript files of the TechCrunch site was modified by hackers to open an IFRAME, which in turn delivered a PDF file with a nasty Zeus infection.
"The bad news about this infection, which lasted several hours on Monday of this week, is that - as security researcher Rik Ferguson says in his blog

today announced it has been positioned by Gartner, Inc. in the “leaders” quadrant of two Magic Quadrant reports: Help Desk Outsourcing, Europe[1], and Desktop Outsourcing, Europe[2]. The reports were published in July 2010 and are “evaluations based on completeness of vision and ability to execute”. Gartner defines ‘leaders’ as “[those who] are performing skillfully. They have a clear vision of the market's direction and are developing competencies to maintain their leadership position. They shape the market, rather than follow it.”
The reports come in a year which has already proven to be a strong one for Fujitsu in these sectors. In February Fujitsu was selected by the largest UK Government Department for a c.140,000 desktop outsourcing project – the single biggest desktop and thin client outsource deal in the UK.

announced today the release of FastTrack Scripting Host version 6.0, a pseudo-language designed to handle scripting needs in a Windows network. The new version features a full native interface for any operation performed on Active Directory users, groups, computers and organisational units. It continues to build on FastTrack’s cornerstone paradigm: any one operation requires only one script line.
“Active Directory is notoriously difficult to script; even the ‘experts’ have difficulty producing an error-free script,” said Lars Pedersen, lead developer of FastTrack Scripting Host. “However, it can be done with the right tools. FastTrack gives the IT administrator the ability to do what was previously out of reach, empowering him to accomplish more in less time. With existing scripting tools maybe three out of 100 administrators can write advanced scripts related to Active Directory. With FastTrack, 100 of 100 can do it.”
